Important Booking Conditions

Please read these Important Online Booking Conditions carefully as they apply to all bookings made through this web site.


Prices and Conditions

Prices and conditions featured on this website are current at the time of publication but are subject to change without notice. Prices may vary due to peak demand periods, changes in surcharges, fees, taxes or currency fluctuations. All prices, conditions and information should be confirmed with us at the time of booking.

Any verbal quote given is an estimate only of the price, which will be subject to change until written confirmation of the reservation.

The price of the booking may change at any time up to 30 days before departure due to currency fluctuations or if any new surcharges, fees or taxes are introduced or if any existing surcharges, fees or taxes are varied, even after all or part of the quoted price of the booking has been paid. If we have to change any part of the booking for reasons beyond our control, for example, an Accommodation Supplier overbooks accommodation, we will notify you. If any such changes result in the itinerary costing more or otherwise being materially different from that originally booked, then you may cancel the booking and we will refund any monies already paid less any charges levied by Suppliers.

Prices listed are either per room or per person as stipulated on the website. Prices are listed in either Australian Dollars (A$) or New Zealand Dollars (NZ$) depending on the geographical location of the Travel Agent making the booking and include GST where applicable. Prices do not include transport from the home port to the destination and/or return, items of a personal nature, meals, transfers, Supplier imposed levies and existing or proposed taxes and government charges, unless otherwise indicated.

Prices shown on this website are for payments made by cash. An additional 1.2% credit card service fee will be applied to the dollar amount paid by credit card on all bookings.

Children's Prices

In most cases, children's prices for accommodation featured on this website refer to children occupying the same room/unit with at least two adults and using existing bedding. Additional charges may apply if extra beds (including rollaways and cots) are required.

Some Suppliers may impose conditions that vary from the conditions stated on this website.


Commission

Commission is paid to Travel Agents depending on the two different rate types featured on this site:

Wholesale Rates:

Commission is paid to the Travel Agent as per the terms of the standard Travel Agency Commercial Agreement currently in place.

Dynamic Rates:

As the sale of Dynamic rates is supplementary to the Wholesale Product Range these rates fall outside any standard Travel Agency Commercial Agreement therefore remuneratation will be 8% commission on the gross value of Dynamic services.


Deposits and Final Payment

There are different deposit and payment conditions depending on the two different rate types featured on this site:

Deposit

Wholesale Rates:

A minimum deposit of $55 per adult or $110 per booking, whichever is greater, is required within 7 days of confirmation of the booking, unless otherwise advised at the time of booking. A deposit holds services but does not guarantee prices.

Some Suppliers may impose Deposit and Final Payment conditions that vary from those stated above. Please check Individual Supplier conditions at the time of booking.

Dynamic Rates & Instant Payment Services:

All bookings for Dynamic Rates and other services requiring “Instant Payment” must be paid in full at the time of booking.


Final Payment

Wholesale Rates:

Full payment of the booking cost must be made no later than 30 days prior to travel, or by sale end date, or by the payment deadline specified in individual package conditions, whichever is earliest.

For bookings made 30 days or less prior to travel, but more than 7 days prior to travel, full payment of the booking cost must be made within 24 hours of confirmation of the booking.

If the booking is made 7 days or less prior to travel, full payment of the booking cost is required at the time the booking is confirmed.

Please ensure payments are made within the specified time limits. If this does not happen, our computer system automatically cancels the booking without notice or liability to you.

Only upon payment of the full cost of the booking does the client have a final booking with the Supplier of the relevant good and/or service. In arranging the booking, we are acting as the agent of the Supplier of the relevant Product and at no time does the client have a contract with us.

The following specific conditions apply for Cruise & Sail Holidays and Rail Tours.


Cruise and Sail

Deposit

A minimum deposit of $55 per adult or $110 per booking, whichever is greater, is required within 7 days of confirmation of the booking, unless otherwise advised at the time of booking. A deposit holds services but does not guarantee prices.

In addition, a secured charter deposit of $550 per vessel and a signed charter agreement is required within 7 days of confirmation of the booking for all Skipper Yourself Holidays, unless otherwise advised at the time of booking.

Final Payment

Full payment of the booking cost must be made no later than 60 days prior to travel for all Skipper Yourself Holidays and Private Crewed charters, and no later than 30 days prior to travel for all other cruises, or by sale end date, or by the payment deadline specified in the individual package conditions, whichever is earliest.

For all Skipper Yourself Holidays and Private Crewed charter bookings made 60 days or less prior to travel, and for other cruise bookings made 30 days or less prior to travel, but more than 7 days prior to travel, full payment of booking cost must be made within 24 hours of confirmation of the booking.

If the booking is made 7 days or less prior to travel, full payment of the booking cost is required at the time the booking is confirmed.

For Wilderness Cruise bookings, other deposit and final payment conditions apply. Please check Individual Supplier conditions at the time of booking.

Bond

For all Skipper Yourself Holidays, a Bond is payable direct to the Supplier on or prior to the commencement of a charter.

Rail Tours

Deposit

A non-refundable deposit of $220 per person is required within 7 days of confirmation of the booking, unless otherwise advised at the time of booking. A deposit holds services but does not guarantee prices.

Final Payment

Full payment of the booking cost must be made no later than 60 days prior to travel.

For bookings made 60 days or less prior to travel, but more than 30 days prior to travel, full payment of booking cost must be made within 24 hours of confirmation of the booking.

If the booking is made 30 days or less prior to travel, full payment of booking cost is required at the time the booking is confirmed.


Dynamic Rates & Instant Payment Services:

All bookings for Dynamic Rates and other services requiring “Instant Payment” must be paid in full at the time of booking.


Preferred Method of Payment

Our preferred methods of payment include:

  • Electronic Funds Transfer (EFT) *
  • We will receive payments processed by 2pm EST on the same working day. All payments processed after this time will be received on the NEXT working day. Advice of payment on your clients booking is considered an absolute commitment to payment by your agency.

  • Moneydirect *
  • We will receive payments processed by 2pm EST on the same working day. All payments processed after this time will be received on the NEXT working day. Advice of payment on your clients booking is considered an absolute commitment to payment by your agency.

  • Tias Tips (Smartmoney) *
  • We will receive payments processed by 2pm EST on the same working day. All payments processed after this time will be received on the NEXT working day. Advice of payment on your clients booking is considered an absolute commitment to payment by your agency.

  • eNett *
  • We will receive payments processed by 2pm EST on the same working day. All payments processed after this time will be received on the NEXT working day. Advice of payment on your clients booking is considered an absolute commitment to payment by your agency.

  • Online/Internet banking *
  • For our bank details regarding online/internet banking, please contact our reservations team and follow the payments selection. (This is not available to New Zealand agents).

  • Credit/Debit/Charge Card
  • A surcharge will be applicable for all debit card, credit card and charge cards payments on bookings. Travel Agencies have the option to pay either using their Agency Store Debit/Credit/Charge Card or using the Clients’ Debit/Credit/Charge Card. If using the Clients’ Debit/Credit/Charge card you acknowledge that you have obtained authority from the Debit/Credit/Charge Card Account Holder. Failure to obtain this authority may result in your Agency being responsible for any chargebacks levied by the Card Issuer.

Bonds

Bonds or credit card imprints are required by Car and Campervan Hire Suppliers, Yacht Charters and by most Accommodation Suppliers at the time of check-in to cover incidentals and fees not included in your holiday cost. Other bonds may apply at certain times of the year.


Amendment Fees

Wholesale Rates:

Any amendment to the booking is subject to the approval of the relevant Supplier. Any approved change to the booking prior to, at or after making final payment will incur an amendment fee of $27 in addition to any fees imposed by the Supplier.

ast Minute Rates:

Amendments to Dynamic Bookings are not permitted.


Cancellations and Refunds

Wholesale Rates:

Once paid the deposit is non refundable and is in addition to any fees imposed by the supplier which may be up to 100% of monies paid (refer to individual Suppliers Cancellation Policy). There will be no refund for cancellation once travel has commenced or for any unused services. Requests for refunds received more than 6 months after departure date will not be accepted.

The Supplier’s cancellation fees will be charged according to their specific cancellation policy. Individual Supplier cancellation fees will be displayed before you confirm your booking.

If you are eligible for a refund, the amount will be credited to your credit card.

For Rail Tour bookings, a 100% cancellation fee applies unless the seat is resold. If the seat is resold, payment will be refunded less your non-refundable deposit.

Dynamic Rates:

Dynamic Rates services requiring “Instant Payment” are subject to very strict Cancellation Policies as imposed by the Suppliers and it is important to always check and take note of the Cancellation Policy listed under the “Room Info” section of each Dynamic Rate or Instant Payment Service.


Late Bookings

A fee of $20 will be charged for any late booking which necessitates documents being forwarded by Registered Post, Express Post or Courier.


Travelling Without Tickets

In the case of short notice bookings, we can arrange for documents to be sent directly to the Supplier.


Responsibility

Information featured on this website has been supplied by the people and organisations (Suppliers) providing the various goods and/or services (Products). In supplying this information to you, we are acting as the agent of such Suppliers. Irrespective of any measures taken by us to ensure the information featured on this site is accurate at the time of publication, we disclaim and will be exempt from liability in respect of anything misleading, false, incomplete or inaccurate and any errors, misdescription and all associated disappointment, loss, expense, damage, inconvenience, delay, death, shock, illness or injury, however caused.

We do not control the manner in which Products featured within this site are provided. We disclaim and will be exempt from liability for anything to do with the supply of such Products. This includes liability (whether as a matter of contract, tort, statute, restitution, or otherwise) for any direct, indirect or consequential loss, liability, claim, cost, expense, proceeding, demand, penalty, disappointment, death, injury, illness, shock, inconvenience or delay. This limitation of liability also applies irrespective of the cause, including negligence of us or a Supplier, withdrawal, cancellation or failure to provide a Product, delay, any variation in the Product, the provision of substitute Products or a change in the Supplier. Without limitation, we will not be responsible if the Product is not available due to inclement weather conditions or other Acts of God, civil disturbances, fire, floods, acts of Government or any other authorities, accident to or failure of machinery or equipment or industrial action.


Photographs

Images displayed on this website are included as a guide only. Hotel room photographs are representative only and actual rooms occupied may vary in décor and inclusions from those shown.


Identification

Some Accommodation Suppliers require photo identification to be presented upon check-in.


Airfares

A range of airfares are offered through our website. All airfares are subject to availability and special conditions apply to each fare. Airfares booked online require full payment at the time of booking. If flexible payment terms are required, please contact our Call Centre who can assist you with airfares that are able to be held before payment is required.

  • Wholesale Airfares booked online must be booked in conjunction with Confirmed accommodation. There are minimum night stay conditions enforced with wholesale airfares.
  • Passenger Names must be entered exactly as detailed on the Customer’s passport (for international travel) or on photographic identification (for domestic travel). Names entered incorrectly are then subject to airline specific terms and conditions and may attract fees.
  • The booking of Air services online may attract a non-commissionable ‘Air Booking Fee’ which is charged per person per sector, excluding infants.
  • The booking of a combination of Air services online may result in the creation of multiple airline bookings. Subsequent amendments or cancellations for these bookings may each attract fees.

Travel Insurance

We strongly recommend travel insurance as it may protect your clients should they cancel due to unforeseen circumstances.


International Passport and Visa Requirements

Please ensure your clients are in possession of a valid visa for the destination they are visiting. Australian Passport holders should always check any 'Travel Advice' notices issued by the Australian Department of Foreign Affairs & Trade prior to commencement of travel. Information can be accessed at www.smartraveller.gov.au .

It is the passengers’ responsibility to ensure you that they are in possession of any visas required for their destination. Australian Passport holders can check http://www.dfat.gov.au/visas . Requirements for other nationalities/Passport holders may vary and should be checked with the relevant issuing authority. Passports are normally required to be valid for at least 6 months beyond the date of re-entry.

  • Australia:
  • Information on travel to Australia can be accessed at www.immi.gov.au . Requirements may vary for different nationalities. A Special Category Visa (SCV) is electronically granted for New Zealand Passport holders.

  • New Zealand:
  • Information on travel to New Zealand can be accessed at www.immigration.govt.nz . Requirements may vary for different nationalities. No visa is required for Australian Passport holders. Passports must be valid for at least 6 months beyond the date of re-entry into Australia.

  • Fiji:
  • Information on travel to Fiji can be accessed at www.immigration.gov.fj . Requirements may vary for different nationalities. No visa is required for Australian or New Zealand Passport holders. Passports must be valid for at least 6 months beyond the date of departure from Fiji.

  • Cook Islands:
  • Information on travel to the Cook Islands can be accessed at www.cook-islands.gov.ck/faq.php . Requirements may vary for different nationalities. A bona-fide visitor (any person who enters the Cook Islands solely for recreation or vacation/holiday), does not require an entry permit, provided he/she possesses proof of onward passage (booked and paid) for stays of not more than 31 days.

  • Vanuatu, Samoa, Tonga & Papua New Guinea:
  • Requirements may vary for different nationalities and we advise that you check with the relevant consulate prior to travel. It is the responsibility of the passenger to ensure that they carry the correct documentation and meet the necessary requirements for travel to these destinations.


Transfers

Some Accommodation Suppliers provide courtesy transfers from airports/railway stations. It is essential that these transfers are pre-booked and must be confirmed with the Supplier 24 hours prior to departure.


Tours

Some tours require a minimum number of passengers to operate. If minimum numbers are not achieved, tours may be cancelled at short notice. Additionally, some Suppliers reserve the right to cancel departures for other reasons. Some tours and itineraries may also vary and attractions may be substituted due to seasonal conditions. We will not be held liable for a service variation, cancellation, delay or withdrawal, or a Supplier's failure to notify you.


Spa Packages

Spa treatments book out well in advance and it is essential that treatment times are pre-booked prior to arrival. A confirmed accommodation booking does not guarantee availability of spa treatments or services included in the package.


Wedding Packages

Legal Requirements

A Notice of Intended Marriage form must be lodged with the Celebrant at least one calendar month before the date of the marriage ceremony. Only a prescribed authority has the power to shorten the one month statutory period and only in exceptional circumstances. A copy of the Notice can be obtained from the Celebrant or from the Registry of Births, Deaths and Marriages in each State or Territory.
